Archive patient files

When too many patient files are shown on the screen, it might be a good time to archive some of the patient files.

In a Single user setup, a default archive folder is provided on the computer. However, a different location can be defined for this archive (see: Patient data).

In a Practice setup, an archive folder is provided in the team folder (see: Patient data).

To move patients to the archive, take the followings steps:

1.       Select the patient file to be archived.

2.     Click Archive in the Medical Record group on the Medical Records tab.

Note

If the patient file is opened by another team member in a Practice setup, it is not possible to archive the patient file. An error message will be shown.

3.     The Archive Patients dialog is displayed.

4.     Do one of the following:

     To move only the currently selected patient file to the archive folder, select the first option.

     To archive locally stored patient files matching certain criteria, select the second option and set the criteria in the drop-down boxes.

5.     Click Archive Patients.

6.     The patient file(s) is (are) moved to the archive folder.

Note

It is not possible to place an archived patient file online or to archive an online patient file.

Open an archived patient file

To open the medical record of a patient which was archived:

1.       Click Archived Patients in the My Office menu bar.

2.     In the Archived patients list, double-click a patient file. Alternatively , select a patient file from the Archived patients list and click Open  in the toolbar.

3.     The patient file is unarchived and a confirmation dialog is shown.

4.     Upon confirmation, the patient file is opened, showing the Medical Record dialog, the gateway to the different modules in DTX Studio™ Implant.

Unarchive a patient file

Use the Unarchive action when a patient file needs to be restored to the local patients folder:

1.       Click Archived Patients in the My Office menu bar.

2.     Select the patient file.

3.     Click Unarchive .

4.     Now the patient file is removed from the archived patients folder and restored in the local patients folder (in a Single user setup). When working in a Practice setup, the file is restored to the Patients folder under the team folder (as a locally stored practice patient).

Delete an archived patient file

To delete the medical record of a patient which was archived:

1.       Click Archived Patients in the My Office menu bar.

2.     Select a patient file from the Archived Patients list.

3.     Click Delete  in the Medical Record group on the toolbar.

4.      A dialog pops up, requesting your confirmation for the deletion. Choose Delete to remove the file or Cancel to keep the patient file.

5.      The patient file is removed.

I do not see the archived patient files? What can I do?

When patient files are available in the archive folder and they are not displayed, it is likely the folder they are located in cannot be reached.

When the archive folder cannot be reached because for example the folder is located in a network and no network connection is available, no archived patient files are shown. They are, however, still located in the folder they were stored in. Check whether the folder can be reached. When stored in a remote network folder, check whether an Internet connection is available.

The archive button is disabled. What can I do?

First of all, check whether you are working in a Practice setup or a Single user setup.

In a Single user setup, it will only be possible to archive a patient when you are the treating clinician of the patient. Additionally, the patient file must be stored locally. Therefore, if the patient file is placed online, the Archive button is disabled.

When working in a Practice setup the Archive button is disabled when the patient file is placed online.
