Archive Patient Files

When too many patient files are shown on the screen, it might be a good time to archive some of the patient files.

Notes

When starting DTX Studio™ Implant, you will get a notification:

If the system finds an old patient archive. Click Continue to start the conversion to the new archiving format. 

If you do not want to see the same message window when starting the software again, select Do not show this message again.

If there are over 1,000 patient files in your Patients folder. As an extensive patient list might slow down the application, the notification will recommend to archive. Click Archive now to archive patient files right away. 

If you do not want to see the same message window when starting the software again, select Do not show this message again. Only when the software has been updated to a new version, the Recommend to archive patients dialog pops up again.

In a Single user setup, a default archive folder is provided on the computer. However, a different location can be defined for this archive (see: Default Folders). In a Practice setup, an archive folder is provided in the team folder (see: Team Setup).

To move patients to the archive, take the followings steps:

Click Archive in the Archive group on the Medical Records tab.

Notes

If the patient file is opened by another team member in a Practice setup, it is not possible to archive the patient file. An error message will be shown.

It is not possible to place an archived patient file online or to archive an online patient file.

The Archive Patients dialog is displayed.

Do one of the following:

To move only the currently selected patient file to the archive folder, select the first option.

To archive locally stored patient files matching certain criteria, select the second option and set the criteria in the drop-down boxes.

Click Archive Patients.

The file browser is opened on the default archiving folder. If needed, browse to another folder. Click Save.

An archive file is created.

Note

If multiple patient files are archived, a file is created per year in which the patient files were last modified. If over 10 MB data for the same year needs to be archived, the data will be stored in several archive files.

 

Unarchive a Patient File

Use the Unarchive action when a patient file needs to be restored to the local patients folder:

Click Unarchive in the Archive group on the Medical Records tab.

Browse to the directory in which the .dtxia archive files are stored. The default location is C:\DTX Studio\Implant\Archive.

Click Choose. If the Choose button happens to be disabled, check whether the Directory folder is empty. If not, clear the field and the Choose button will be enabled.

Select one or more patient files. Use the Search input box at the bottom of the list to find a specific patient file.  

Click Unarchive (#).

Notes

(#): The number of patients that will be unarchived with this action is shown between brackets.

It is not possible to unarchive a patient file that has been unarchived before.

The selected patient files are restored in the local patients folder (in a Single user setup). When working in a Practice setup, the files are restored to the Patients folder under the team folder (as a locally stored practice patient).

Convert archived patients

Patient files that were archived in a version prior to DTX Studio™ Implant 3.5 need to be converted before they can be unarchived. To convert old archive files to the new archiving format:

Click Convert convert icon in the Archive group on the Medical Records tab.

Browse to the location of the old patient archive file. 

Select the folder that contains the archive file.

The conversion time will be estimated. Once you click Convert, the action can no longer be canceled. You will receive a success message when the conversion is ready. 

The Archive Button Is Disabled. What Can I Do?

First of all, check whether you are working in a Practice setup or a Single user setup.

In a Single user setup, it will only be possible to archive a patient when you are the treating clinician of the patient. Additionally, the patient file must be stored locally. Therefore, if the patient file is placed online, the Archive button is disabled.

When working in a Practice setup the Archive button is disabled when the patient file is placed online.
